A paperless system of record for property management across 17 offices
A residential real estate agency network runs property management for 17 offices and 16 trusts in Airtable: rent reviews, vacates, ingoings, tenancy applications, lease preparation, routine inspections, and smoke alarm tracking all live in linked tables that property managers and an offshore execution team share. The result is a single source of truth that keeps coverage going during floods, outages, and staff leave without manual handoffs.
The problem
Property management data was fragmented across seven separate bases, which slowed performance and made regulatory updates a manual, error prone exercise repeated across five or more places at once. When an office lost staff to leave, illness, or a natural disaster, nobody else had visibility into that office's open rent reviews, vacates, or inspections.
The underlying work was still largely paper based: inspection checklists, smoke alarm logs, and lease paperwork moved between property managers and an offshore team by hand, with no consolidated way to track status or hand off coverage.
What they built
Property Management, Operations, and Field Operations teams consolidated seven bases into one Airtable system that orchestrates rent review processing with jurisdictional compliance flags, tenancy application intake and offshore execution, lease agreement preparation and review, routine property inspections, and smoke alarm logging by field technicians on mobile devices.
Daily job calendars and task assignment run through the same base, connecting to the property management platform by API feed, an inspection platform, and an applications intake platform, so every workflow that touches a tenancy has one home instead of five.
The outcome
Any property manager or offshore team member can now see the status of a rent review, vacate, or inspection regardless of which office originated it, which keeps coverage running during floods, outages, and staff leave instead of stalling at the office boundary.
Paperless operations let staff work from anywhere, manual admin and duplicate updates across bases have been eliminated, and newly acquired offices integrate into the same standardized process instead of running their own version of it.

Property management workflow orchestration across 17 offices
Run rent reviews, vacates, ingoings, tenancy applications, lease preparation, inspections, and smoke alarm checks for a multi-office property portfolio from one linked base, with per-office dashboards, a workflow kanban, and daily job lists that keep coverage going when an office loses staff. Automations route new applications to your offshore execution queue, spin up lease preparation on approval, flag non-compliant smoke alarms, and email a Monday digest of every open workflow across the network.

Frequently asked questions
Every property, tenancy, and trust is a linked record with its own status and history, so any authorized property manager or offshore staff member can see the current state regardless of which office originated it.
Mobile logging by field technicians directly into the base. Inspection and smoke alarm records attach to the property they belong to instead of living on paper forms that had to be manually filed.
Applications enter through an API feed and route to the offshore team for execution inside the same base, so intake and processing share one record instead of being handed off between separate systems.
Fragmentation across seven bases was causing performance overhead and forcing manual updates to five or more bases every time a regulatory change hit. One base means one place to update and one place to check status.
Not for the property management workflows themselves. The account is exploring AI for a separate listing content use case, and the structured tenancy and inspection data built here is the kind of foundation that AI workflow would draw on.
