Use Case

A single source of truth for product roadmaps and portfolio health

A fitness tracking app company consolidates product roadmap planning in Airtable: timeline and Gantt views for the roadmap, two-way sync with Jira and Confluence for engineering alignment, project health tracking, and leadership dashboards. Product, Engineering, and Leadership replaced scattered roadmaps and manual status chasing with one hub that gives product leaders a consolidated view of what is happening, when, and who owns it.

The problem

Roadmaps were scattered across multiple tools, and no one on the leadership team had a consolidated view of what was in flight, when it was landing, or who owned it. Getting an accurate cross-functional picture meant chasing updates across documents, spreadsheets, and separate engineering trackers.

Status updates depended on manual Slack reminders, which meant data went stale between check-ins and handoffs between Product and Engineering slipped through the cracks. Leadership adoption of any planning tool required fresher, more trustworthy data than the fragmented process could produce.

What they built

Product, Product Operations, Engineering, Leadership, and IT built a shared Airtable base for roadmap planning, using timeline and Gantt views to lay out initiatives and dependencies for portfolio-wide visibility.

The base runs a two-way sync with Jira Cloud and Confluence so engineering work stays aligned with the roadmap without duplicate data entry, tracks project health and status in the same records, and feeds leadership dashboards that pull directly from live data, with Slack and SSO wired in for notifications and access.

The outcome

Leadership adopted the new system because the data stayed fresh, replacing scattered roadmaps and manual tracking with one consolidated source of truth for what is going on, when, and who is working on it.

Cross-functional visibility across Product, Engineering, and Leadership improved, manual coordination overhead dropped, and status updates stopped depending on chasing people down in Slack.

Build out this use case

Product Roadmap & Portfolio Orchestration

Plan every product initiative in one base with timeline and Gantt views, roll engineering epics and documentation up to the roadmap record they belong to, and give leadership a dashboard that reads live project health instead of a status deck. Automations open a kickoff check-in on every new initiative, push off-track status up to the portfolio, log a check-in when an engineering epic lands, and email a Monday digest, while AI columns draft the executive summary, the engineering alignment note, and the dependency risk readout.

How it works

From scattered roadmaps to one consolidated hub

Copy the templates

Start from the product roadmap template above for initiative and timeline planning, then layer in the project portfolio management structure for leadership rollups and the resource management template for capacity visibility.

Wire the two-way sync

Connect Jira Cloud and Confluence so engineering tickets and documentation stay linked to roadmap items automatically, eliminating duplicate entry between the roadmap and engineering trackers.

Build the leadership view

Layer timeline and Gantt views on top of the same records, add Slack notifications for status changes, and give leadership a dashboard that reads live data instead of a periodic status deck.

FAQ

Frequently asked questions

Every initiative is a single record with linked teams, timelines, and status, so Product, Engineering, and Leadership are all looking at the same data instead of maintaining separate copies in separate tools.

Engineering tickets in Jira and documentation in Confluence stay linked to the roadmap records that depend on them, so a status change in one system reflects in the other without anyone re-entering it.

Status now lives on the record itself and updates as work moves, so leadership dashboards pull current data directly instead of relying on someone posting a manual update in a channel.

The data stays fresh because it updates automatically through the Jira and Confluence sync rather than depending on manual reporting, so what leadership sees on the dashboard matches what is actually happening.

Not for the core roadmap and sync workflows described here. The structured roadmap and status data this base maintains is the kind of foundation that later AI-assisted planning work would build on.
