Use Case

One calendar for post-production scheduling and equipment tracking across 50-60 shows

An independent television and factual content producer auto-populates a master post-production calendar from 50-60 individual show offline and online schedules, tracks equipment inventory with a full location and duration audit trail, and manages date-change approvals with automatic conflict detection in Airtable. Post supervisors, online managers, and technical coordinators replaced manual Google Sheets updates with a single source of truth and eliminated lost equipment history.

The problem

Post-production coordinators maintained offline and online schedules for 50-60 concurrent shows in separate Google Sheets, then manually consolidated them into a master calendar. Any date change required coordinators to update multiple spreadsheets, with no automated conflict checking to flag overlapping bookings or resource clashes.

Equipment inventory had no historical audit trail. When a piece of kit moved between locations or people, the record was lost. Technical coordinators and media managers had no visibility into where equipment had been, how long it stayed, or whether items were returned on time.

What they built

The team built a master post-production calendar in Airtable that auto-populates from per-show offline and online schedule records. Coordinators import existing CSV schedules to seed the base, and new entries in any show's record are reflected in the master view immediately. A date-change approval flow routes change requests through a conflict check before updating the calendar, so overlapping bookings are caught before they affect production.

Equipment inventory tracking gives every item a location history record that captures where it was, who had it, and for how long. Role-based views let post supervisors, online managers, technical coordinators, and archive staff each see only the data relevant to their function, without exposing unrelated records.

The outcome

Manual Google Sheets updates across 50-60 shows were replaced by a consolidated Airtable base. The master calendar updates automatically as per-show schedules change, and conflict detection prevents date collisions from reaching production without coordinator review.

Equipment history is no longer lost when kit moves between people or locations. Every transfer is logged with a timestamp, giving technical and media management teams a complete audit trail and a live view of current equipment location across all productions.

Build out this use case

Post-production master calendar and equipment tracking

Run every show's offline and online schedule through one master post-production calendar, route date changes through an approval flow that catches clashing suite and crew bookings before they reach production, and keep a complete location and duration history for every piece of kit. Automations push approved dates onto the calendar, update an item's live location the moment a movement is logged, and send weekly conflict and overdue-kit digests, while AI fields write the status brief, the change-impact assessment and the equipment audit summary for you.

How it works

From manual spreadsheets to a consolidated post-production base

Seed the master calendar

Use the production schedule template as the base structure for each show. Import existing Google Sheets or CSV schedules into per-show records, then build a master calendar view that aggregates all shows into a single timeline sorted by date, team, or production status.

Add conflict-checked date changes

Build an approval flow that routes date-change requests through a conflict check before updating the master calendar. Automations compare proposed dates against existing bookings and flag overlaps for coordinator review, preventing conflicts from reaching the production schedule.

Track equipment with location history

Adapt the asset tracker template to capture each equipment item with check-out and return records linked to the person and location. Every transfer adds a timestamped log entry, giving technical coordinators a complete audit trail and a live view of where every item is across all productions.

FAQ

Frequently asked questions

Each show has its own schedule record in Airtable. As coordinators update per-show offline and online dates, those changes flow into the master calendar view automatically without any manual consolidation. CSV import is available for teams seeding new shows from existing spreadsheets.

When a coordinator submits a date-change request, an Airtable automation compares the proposed dates against existing calendar entries for the same resources, facilities, or personnel. If a conflict is detected, the request is flagged for review before the calendar is updated, preventing overlapping bookings from reaching production.

Airtable replaced the separate Google Sheets maintained per show. Per-show schedule records feed a master calendar view that aggregates all productions, so coordinators manage dates in one place instead of keeping multiple spreadsheets in sync manually.

Every equipment item has a linked history record that logs each check-out and return with a timestamp, the person who held it, and the location. When kit moves between productions or facilities, coordinators log the transfer and the record accumulates a full audit trail for the item's lifetime.

Post supervisors, online managers, technical coordinators, and archive staff each access a filtered view showing only their relevant records. Offline editorial sees their show schedules, archive teams see their asset views, and technical operations sees the equipment inventory, all from the same base without exposing unrelated data.
