A candidate pipeline with an audit trail behind it
An appointments office at a large city government manages the end-to-end lifecycle of board and commission candidates in Airtable: nominations, vetting status, board vacancies, and appointment letters. Operations staff now work from a secure, historical system of record that replaced fragmented spreadsheets and helps keep more than 200 boards filled without duplicate records or missed vacancies.
The problem
Candidate nominations for civic boards and commissions arrived through inconsistent channels and often ended up as duplicate records, since there was no shared system tracking who had already been nominated or vetted for a given seat.
Manual email routing handled stakeholder notifications, which meant no historical record of who had held a seat, when it turned over, and why. Generating an executive summary of vacancies and holdovers required piecing the picture back together by hand.
What they built
HR and legal staff, people managers, and operations built a shared Airtable base covering the full candidate lifecycle: nomination intake forms, a vetting and approval pipeline, board roster and vacancy tracking, and weekly agenda generation for leadership.
Every nomination becomes a linked record that carries its vetting status and appointment history, so the same candidate cannot be entered twice for different boards, and every seat has a documented chain of who filled it and when.
The outcome
The office now has a single source of truth for more than 200 boards, with automated communication replacing manual email routing for status updates to candidates and stakeholders.
Manual data entry and its errors are down, and leadership gets clearer visibility into vacancies and holdovers through a generated weekly agenda instead of an ad hoc spreadsheet review before each meeting.

Frequently asked questions
Every nomination links to a shared candidate record, so the same person nominated for multiple boards resolves to one profile with a full vetting history instead of separate entries per board.
Each candidate record carries its current vetting stage, from nomination intake through approval, so operations staff and leadership can see exactly where any candidate stands without asking around.
It pulls directly from the vetting and vacancy records already in the base, so leadership reviews a current, accurate agenda instead of a manually assembled spreadsheet before each meeting.
Automated communication tied to status changes now notifies candidates and stakeholders, replacing a process where someone had to remember to send an update by hand.
No. It is a structured intake, vetting, and reporting workflow built on linked tables and forms, independent of any AI feature.
