Setting your goals for Airtable (and then exceeding them)

Want to know a not-so-secret secret our successful teams know? Documenting your best practices—early and often—pays off. These best practices ensure a successful rollout today and in the future, as your team evolves. 

Evaluate how your workflows work 

A few weeks after your new workflow is up and running, reach out to the team to confirm everything is going well. This check-in is an important opportunity to suss out any gaps or challenges before they become problems. That way, your new workflow sticks around by addressing any potential issues that could cause people to go back to old processes or tools. 

☑ Revisit success criteria

You’ve already defined what success looks like as part of your rollout plan. If you didn’t have a chance to do this, no worries, you can still take time to outline your goals.

Additionally, here are a few questions to ask:

  • Are we cutting down on unnecessary steps? 

  • Is the team able to work more efficiently? 

  • Are we able to produce work faster?

  • Has the quality of work improved?

  • Does leadership have increased visibility into what’s going on? 

Once you have your list of success criteria, review them with your team to evaluate how your workflow is achieving its intended goals. And if the answer isn’t yet a resounding yes, that’s ok! Airtable’s flexibility makes it easy to iterate so you can create the perfect workflow.

☑ Collect feedback 

Don’t just collect feedback from core stakeholders, check in with the broader team who’s using Airtable for their work. Here are a few ways to do that:

  • Internal user survey: Use a survey to collect feedback around how people are using your base, how it’s performing against your success criteria, and anything else people want to share. Here’s an example survey to get you started. 

⚡Airtable tip Use an Airtable form to run your survey. This way, you can create a survey and review responses right from where you’re already working—without having to switch to another tool or import information.  

  • 1:1 meetings: While surveys are effective for gathering high-level feedback, it’s also helpful to meet with team members one-on-one to get richer responses. Select a few team members who represent a range of use cases for your base. If possible, ask team members to show you how they use Airtable to really understand what’s working and more importantly, what’s not.

☑ Share findings Once you have an understanding of how your base is performing, get your rollout team back together. Share what you learned from your survey, both the good and bad. Questions or feedback doesn't mean Airtable won't work for your team—it's a flexible tool and a few tweaks along the way should be expected.

☑ Act on insights

Once you have a plan in place, communicate it with the broader team so they know their feedback was heard. 

Optimizing success over time 

As your usage of Airtable continues, be sure to periodically repeat this process to ensure your solution evolves alongside your team. This applies to both your existing workflow and new processes you run in Airtable.

Expanding into new use cases 

Once your team has one process or workflow running smoothly in Airtable, it’s time to identify the next. As the saying goes, “knowledge is power.” And the more information you have in Airtable, the more powerful it becomes. Pulling in information from across the company gives you even more context to take action or make decisions. 

As new use cases and people come on board, we recommend working with your team to follow the same best practices outlined in these guides: define your goal, build your base, onboard your team, and then, optimize your workflow.
