Route data to the right place with AI
With Airtable’s latest AI launch, we’ve introduced an exciting new feature that empowers users to easily route data to the right place—whether the right person, project, team, or view.
Companies operating at scale often have challenges with assigning tickets, feedback, tasks, etc. to the right team, product area, or project. A user might not be familiar with all the other projects in their organization, or it can be time-intensive to match the right team for a large set of tickets. Using AI, we can perform these routing operations more accurately and faster.
In this guide, we’ll walk through the routing functionality available through AI suggestions in linked records and share how your team can start using them today.
Routing with linked records
Linked records allow connecting one table to another. For example, if you have a table that’s for action items, and another table that’s for projects, linking records between them allows you to track which project is associated with a given action item.
As another example, if you have a table for user feedback that links to a table for teams, you can track which team is responsible for reviewing each piece of user feedback. You can filter the feedback table by team to see a list of feedback for that team.
By assigning a project, or by setting a team, we are routing that action item or feedback to the corresponding area of ownership.
Configure AI suggestions for linked records
With Airtable AI, you can now get automatic suggestions when configuring a linked record. To get started, simply check the “Use AI” option when configuring a linked record field. Choose which fields in the linked tables you want to use - these are the fields AI will examine to make suggestions. You should include fields that will help AI find that similarity, and leave out fields that may be not relevant or misleading.

When you use the linked record picker in a base or interface, you will now see a section appear at the top that contains “Top matches” that are suggested by AI. You can choose from one of these AI-suggested options, or scroll down and choose a different linked record as before.
Improving suggestion quality
Airtable AI makes suggestions for a record based on the fields of that record, the contents of records in the linked tables, and example linked records that already exist between the tables.
A good way to improve the quality of suggestions is to manually link a few records first. Manually linking 10 records will typically provide sufficient examples for the AI to dramatically improve its suggestion quality.
You should also examine which fields are configured for AI usage in the linked record configuration. Make sure to include fields that contain relevant information (e.g. the name of a task, or the feedback description), and try to not include fields with irrelevant information.

With a few clicks, you can turn on AI suggestions when using the linked record picker in bases or interfaces, empowering all users of the field. AI is able to learn from data in linked tables and existing examples to improve suggestion quality.
